Four kinds of yearbook

Planning a yearbook

Contributions take the most time. Count back from the day you want the books.

  1. 1

8 weeks before: team and format

Two to four people: one collects, one lays out, one checks. Choose the format and a rough page count.

  2. 2

7 weeks before: send a brief

Ask everyone for the same things (see the list below) and use one fixed layout per person.

  3. 3

    4 weeks before: deadline

Say what happens to late entries, for example a page with only a name and photo. Collect everything in one shared folder.

  4. 4

3 weeks before: lay out and proofread

Let at least two people check every page for misspelled names, missing people and photos that shouldn't be in.

  5. 5

2 weeks before: test copy, then the rest

Order one copy, check it, then order the others.

What to ask each contributor for

  • One portrait photo, the original file from phone or camera (not a screenshot or a photo sent through a chat app)
  • A text of at most 80 to 100 words
  • Their name as it should be printed
  • Permission to print their photo, from a parent or guardian for children
  • Group photos, with the names of who's on them

Which format for which group

  • A school class leaving primary or secondary schoolHardcoverA hardcover lasts for decades and takes ballpoint signatures on its matte paper.
  • A large group where everyone pays for their own copyPaperbackA paperback goes up to 200 pages at a lower price per copy.
  • A sports club looking back on a seasonMagazineA stapled magazine of 24 to 60 pages, easy to hand out at the end-of-season party.
  • A small club or team of 10 to 20Photo book, 21 × 21 or 30 × 30 cmEvery member gets a spread. A 21 × 21 cm photo book of 40 pages costs from €27.96.

Price and payment

A 48-page A4 hardcover costs from €32.19 per copy, a paperback from €25.39 and a stapled magazine €15.89. The price per copy is the same for 1 or 50. Shipping is free from €50. For more than 50, place a second order. Paperback vs hardcover compares the two books.

One person can order all copies and collect the money beforehand, rounded up a little for a test copy. Or share the final PDF and let each family order its own copy; then each order pays its own shipping below €50.

Permission for photos

Ask permission for every photo in which someone is recognisable, from a parent or guardian for children. Collect it in writing, for example in the form people use to send in their contribution.
